Frequently asked questions

Straight answers about compliance, data, pricing and getting started.

General

What is XivoHR?
A complete HR platform: employees, attendance, leave, payroll, WPS, end-of-service, documents, expenses, assets, loans and analytics — thirteen modules on one source of truth, with a company back-office and an employee self-service portal.
Who is it built for?
SMEs and multi-entity groups that want Labour-Law-correct payroll without spreadsheets — from a single LLC to several organizations under one account, each with its own currency, holidays and policies.
Can we run multiple companies on one account?
Yes. Multi-organization support is built in: separate legal entities with independent settings, WPS configurations and leave policies, switchable in one click. Admins can be scoped to specific organizations.

Compliance

Does it calculate end-of-service per UAE Labour Law?
Yes — Federal Decree-Law 33/2021: 21 days of basic wage per year for the first five years, 30 days after, capped at 24 months (Art. 51), with post-2022 rules (full gratuity regardless of how the contract ends). Settlements include unpaid salary and leave encashment.
Does it generate WPS / SIF files?
Yes. MOHRE-format .SIF files with the required EDR/SCR records, validated before generation: 13-character MOL Establishment ID, 13-digit routing codes, AE-format IBAN per employee, AED-only. CSV, PDF and Excel variants come from the same records.
Does it track Emirates ID and visa expiry?
Yes. Passports, visas, work permits, Emirates IDs and more are tracked per employee with configurable alert windows; a daily sweep notifies HR before anything lapses.
How does leave follow the law?
Art. 29 is built in: statutory first-year proration, anniversary or calendar leave years, Hajj leave, and encashment at basic wage. On top of the law, leave can bank across years with carry-forward and configurable caps.

Data & security

Where does the system run?
XivoHR is cloud-hosted and managed by RapidGoo — no servers for you to maintain. Access is role-based with a four-level hierarchy and a per-module permission matrix.
Who can see what?
Owners, admins, managers and employees each see their own scope; managers can be restricted to their department. Sensitive fields like bank details are masked by role.
Is there an audit trail?
Yes — 87 distinct audited actions with before/after snapshots, IP address and user agent, covering payroll approvals, salary changes, permission changes and even support impersonation.
Can we get our data out?
Reports export to CSV, payroll to CSV/PDF/Excel, and payslips and settlements to PDF. Your data is yours.

Access & language

Is there a mobile app?
The employee portal is responsive web — it works in any phone browser with nothing to install. A dedicated mobile app is on the roadmap.
What languages are supported?
The interface is English today. Documents print with your own branding and templates.

Pricing & onboarding

How is XivoHR priced?
Per user, in AED, monthly or annual — starting from AED 20 per user per month. You pay only for the modules you switch on; the owner seat is free. Final quotes depend on headcount and modules.
Is there a free trial?
Yes — 14 days with the core HR modules (employees, attendance, leave, documents, reports, organizations) enabled.
Who sets us up?
Our team does. Onboarding is guided: organizations, salary structures and a statutory-ready leave policy seeded in one click, with responsive support in your timezone.
How do we start?
Request a demo — we walk you through the product on your org structure, then set up your trial.
